Oral Presentation Information for ABS 2010
Slide presentations will be displayed through Microsoft PowerPoint 2007 on PC laptops running Windows 7 operating system. Each laptop will be connected to an electronic projector and have audio playback capabilities. Video can be played through the laptop using standard compression formats. It is often better to embed video clips into PowerPoint and make sure that the original video file is in the same root directory as your presentation. We will not be able to hook up Macintosh computers to these projectors.
Slide preview (room 220 of Sadler Center, behind Help Desk)
When preparing talks, all contributors are strongly encouraged to ensure that all the graphics, animations, movie clips and sounds work on this format of machine. Mac users should be especially careful that their PPTX files have converted properly. Talks can be previewed on this format of computer in room 220 of the Sadler Center throughout the conference. The slide preview room should be open at any time that the general Help Desk is open (expected to be 8:30am to 9pm).
The preview room is NOT to be used for purposes other than previewing and/or submitting presentations. Please do not use these computers for Internet or Email purposes. Everyone at the conference has free WIFI access, and there are plenty of computers freely accessible in the main W&M library (SWEM, indicated on your campus maps).
How to submit your oral presentation files
All files for oral presentations must be submitted by the presenter at least two hours before their scheduled presentation. Talks are submitted in person to staff in the Slide Preview room (room 220, behind the Help Desk in the Sadler Center). Talks will be loaded on to the laptops (which are identical to the ones in the conference rooms) and then moved to a W&M USB drive in the slide preview room. Conference staff will load talks on to the hard drives of the relevant laptops in the conference rooms. Speakers CANNOT submit their talks in the conference rooms; all talks must be submitted through in the Slide Preview room. All files will be deleted from the laptops following a session.
Naming your file. Save your presentation file using your surname as it appears in the conference program. Animations and videos. Presenters will have a remote to change slides but will not have control of the computer mouse. Consequently, all animations and videos must either start automatically or be triggered by a click (forward slide change).
Conference staff will be on hand during the following times to receive talks. Please note that staff will NOT be in the preview room all of the time, so please plan ahead and submit your talk as early as you can.

Remember, you can preview your slides at pretty much any time, but you can submit your talk only at the times indicated above.
